If you are a Supply Chain or IT Professional using the QAD Enterprise Application (EA) and are responsible for setting up Items in QAD, you know the challenge that can be, especially if multiple people within your organization need to be involved in the process. You know that for certain types of Items there are as many as eight (8) tables (and sometimes more if you have any 3rd party add-ons) which need to be maintained with many pieces of data on each table. How often has your organization tried to turn on production for a specific Item only to learn that a piece of critical data is missing from the system (like costing or pricing data), and then scramble to find the right person(s) to input that data?
Working in collaboration with one of QAD’s leading Management Consulting and implementation Partners, Logan Consulting, ISS Group has developed a solution which will assist QAD user organizations with the task of creating new Items and all of its required data within the QAD Enterprise Application (EA).
Whether it’s a Purchased Item or a Manufactured Item, the New Item Setup and Inquiry functionality within the ISS Group iApprove™ Business Process Management (BPM) solution, one of ISS Group’s add-value Business Process Improvement Solutions for QAD EA, will organize, streamline and provide automated control over the process of creating a new Item with all of its required data elements in QAD EA.
To start the process, iApprove™ requests a User to enter some mandatory data elements (ie; Item #, Description, UOM, Product Line, etc.) so that a new Item record can be created within QAD EA.
iApprove™ also provides for new Components to be created in QAD EA which will be required to setup the Product Structure for the new Item.
Once the mandatory data elements have been entered for the new Item and it’s Components, iApprove™ will create new Item records within QAD EA and then route this new Item request along with a set of instructions to the appropriate people (Process Members) within your organization to continue entering their required data into QAD EA. The Process Members that iApprove™ will route the new Item request to, will be based on the routing rules that your organization configures within iApprove™. The routing rules can be based on any data within QAD, and Items can be routed to people sequentially and/or simultaneously.
As each Process Member completes their respective activity they will indicate that they have completed entering their required data within QAD EA and iApprove™ will then check the QAD tables to ensure that the data was setup. If the data was not setup, iApprove™ will inform the Process Member who is trying to complete their role in the process and ask for confirmation before the process can be moved forward.
iApprove™ does not replace all of the QAD EA maintenance screens required to setup a new Item in QAD EA, but rather, it instructs each Process Member via email to use specific QAD EA maintenance screens depending on their role in the process and the iApprove™ routing rules. As data is entered into QAD EA and the process moves forward, the iApprove™ Users can see the QAD EA data from a centralized location within iApprove™.

Since introducing iApprove™ to the QAD user community back in 2011, QAD end-users have utilized this solution and its underlying technologies to satisfy a number of unique process requirements. The New Item Setup and Inquiry functionality of iApprove™ is the latest addition to the growing library of examples of how the iApprove™ solution can of used by a QAD end-user organization to streamline and implement control over a QAD EA related process.
